Plan International USA monitors our grant to UNC as follows: (a) We monitor monthly spending based on a financial reporting tracker which the sub-grantee submits alongside an invoice for the work they have completed during the reporting period. This shows absolute figures by month, relative spending against budgeted ceiling and trends over time. Also, the Senior Program Director prepares a written summary for the UNC Water Institute management staff which points to areas in the budget which are trending low and asks for feedback on the same. (b) Every quarter, we receive and review a summary report from UNC on the programmatic progress that the sub-grantee has made; typically broken down by several sections: activities undertaken, deliverables reported, impact of outcomes, risks going forward. (c) We also conduct regular check-in calls (typically scheduled every two weeks) and regular face to face meetings. Separate agendas are developed to review progress at these meetings which include scorecards for our partnership as a whole to highlight where things are working well and if there are areas of improvement to work on. |
